1. Information we collect
Information you provide
- Account details — your name, email address, and your organization’s name when you register.
- Organization content — the information you and your board add to run your organization: to-do items, meetings and minutes, roster members and roles, reimbursement records, events and volunteer sign-ups, handoff notes, and uploaded files (such as documents and receipt images).
- Messages to Nova — the questions and content you send to our AI helper, Nova, so it can respond.
- Website contact form — the name, message, and details you submit if you contact us.
Information collected automatically
- Essential cookie — a secure session cookie that keeps you logged in. We do not use advertising or third-party tracking cookies.
- Privacy-first analytics — we use Cloudflare’s cookieless web analytics to understand aggregate traffic; it does not track you across sites and stores nothing on your device, which is why helloPVO does not need a cookie-consent banner.
- Basic technical data — standard server and security logs (such as IP address and browser type) used to operate and protect the service.
2. How we use your information
- To provide, maintain, and improve the helloPVO app and website.
- To authenticate you and keep your account and organization data secure.
- To generate responses and documents when you use Nova.
- To respond to your questions and provide support.
- To detect, prevent, and address technical issues, fraud, or abuse.
We do not sell your personal information, and we do not use your organization’s content to advertise to you.
3. AI features (Nova)
When you use Nova, the content of your request is sent to our AI provider, Anthropic, to generate a response. This content is processed to serve your request and is not used to train AI models. Nova’s output can be inaccurate and is not legal, tax, or accounting advice — please review anything important before relying on it.
4. How your information is stored and protected
- Data is hosted on Cloudflare’s infrastructure. Uploaded files are stored in Cloudflare R2; your records are stored in a Cloudflare D1 database.
- Passwords are stored only as salted, hashed values — never in plain text.
- Information is encrypted in transit (HTTPS).
5. Service providers
We share information only with providers that help us operate the service, under their own terms and safeguards:
- Cloudflare — hosting, database, and file storage.
- Anthropic — AI processing for Nova.
- IONOS — email delivery (for example, contact-form and account emails).
6. Your choices and rights
You may access, correct, or delete your account and organization data, or ask us questions about your information, by reaching us through the contact form on our website. Depending on where you live, you may have additional rights under applicable privacy laws.
7. Data retention
We keep your information for as long as your account is active or as needed to provide the service. If you close your account, we will delete or de-identify your data within a reasonable period, except where we must retain it to comply with legal obligations.
8. Children’s privacy
helloPVO is intended for adults who run parent volunteer organizations (board members and volunteers). It is not directed to children, and we do not knowingly collect personal information from children under 13.
9. Changes to this policy
We may update this policy from time to time. When we do, we will revise the “Last updated” date above. Significant changes may be communicated within the app.
